From WhatsApp groups to a freight exchange

The problems of finding loads and trucks in WhatsApp groups, from lost messages to unverified companies and no records, and how a freight exchange fixes them.

· 4 мин четене

WhatsApp groups are still one of the most common ways to find loads and trucks in Turkey and along the European corridor. They are fast, familiar and free. But past a certain point the work itself starts to get lost inside group messages.

Problems in groups

  • Lost messages. In a group with dozens of messages a minute, a load posted in the morning is buried by noon. The right person may never see it.
  • The same load posted again and again. Shippers repost for visibility; the group swells and serious messages drown in noise.
  • Unverified companies and people. There is no way to know whether someone in the group is a licensed carrier or a real shipper. That is where fraud risk comes from; see our post on avoiding freight fraud.
  • No record. Price, dates and terms are scattered through the chat. When a job becomes a dispute, finding what was agreed is hard.
  • Language barrier. Talking to a carrier from another country means juggling translation apps.
  • No filters. To look for "curtainsider to Germany next week" you scroll message by message.

How a freight exchange solves them

An exchange keeps the same information in structured form. A listing is recorded with loading and delivery country, date, vehicle and body type, and you can filter the board by them. Messages do not scroll away; offers and conversation stay on record with date and time. If members have passed document checks, you know the other side is a real company.

Moving over on Order And Load

You do not have to give up your groups; the aim is to connect the two worlds.

  • Paste a WhatsApp message: copy a load message from a group and paste it into the listing form. AI fills the form; you check it and publish. No retyping.
  • Groups: companies can set up group messaging that is open, closed or internal to the company. A load message in a group turns into a listing with one tap. A member who joins later does not see earlier conversation, so past discussions stay private.
  • Share empty trucks by typing: describe your vehicle availability in free text, listings are created and appear on the map.
  • Verified companies: there are no individual memberships. Before a company can post or bid, it is checked against its transport licence, tax registration and activity certificate.
  • Automatic translation in eight languages: chat is translated, and the original text is one tap away.

Small steps to switch

  1. Paste a load you saw in a group and turn it into a listing.
  2. Invite the companies you already work with.
  3. Move price and terms forward as cards in the chat; offer, acceptance and order stay in one place.
  4. Keep the deal inside the order: freight, payment terms and documents on one screen.

WhatsApp can stay as a chat tool. The difference is that the record of the job lives in its own structure, not inside the conversation. For more, browse the terms in the Glossary.
